This Privacy Policy explains how TheAiContentPro ("we", "us", "our", the "Service") collects, uses, stores, shares, and protects information about you. We've written it in plain English wherever possible. If you have questions, please contact us.
1. Scope
This policy applies to your use of TheAiContentPro websites, web applications, mobile apps, APIs, and any other product or service we provide. It does not apply to third-party websites, services, or AI models linked to or integrated with our Service, which are governed by their own privacy practices.
2. Data we collect
Information you provide
- Account info: name, email address, password (stored hashed), profile photo if you choose to upload one.
- Billing info: billing address, payment-method details (processed and stored by our payment processor — we never see or store full card numbers).
- Workspace data: brand voice training files, custom voice clones (with your explicit consent), saved prompts, projects, exported content, team-mate emails (if you invite collaborators).
- Communications: the contents of emails, support tickets, chat messages, and survey responses you send us.
Information we collect automatically
- Usage data: pages viewed, features used, click events, generation counts, model selections, error logs, performance metrics, and approximate session duration.
- Device data: IP address, browser type and version, operating system, language preference, time zone, and device identifiers.
- Cookies & similar tech: see section 8.
Information from third parties
- If you sign up via Google, Apple, or another single-sign-on provider, we receive the basic profile data you authorize that provider to share (typically name, email, profile picture).
- From advertising and analytics partners, we may receive aggregated information about how users discovered our Service (e.g., which ad you clicked).
3. How we use your data
We use the data we collect to:
- Provide, operate, and maintain the Service.
- Process payments and prevent fraud.
- Authenticate users and protect accounts.
- Route prompts to the appropriate AI model providers and return results.
- Personalize the Service (e.g., remembering your favorite models or recent projects).
- Send transactional emails (receipts, password resets, security alerts) and — only with your opt-in — marketing emails or product newsletters.
- Diagnose issues, improve performance, and develop new features.
- Detect, prevent, and respond to security threats, abuse, and violations of our Terms of Service.
- Comply with legal obligations and enforce our agreements.
4. Prompts & outputs
We treat the prompts you submit and the outputs you generate as your private workspace data. Specifically:
- Default isolation. Your prompts and outputs are stored against your account and are not shared with other customers.
- Model providers. To generate a response, the prompt (and any attached files) is transmitted to the relevant Model Provider (e.g., OpenAI, Anthropic, Google, Stability, ElevenLabs). Each Model Provider has its own data-handling practices; where possible we use providers' "no-training" or "zero-retention" API tiers so your inputs are not used to train shared models.
- Our training. We do not use your prompts, uploads, voice clones, or outputs to train shared TheAiContentPro models without your explicit opt-in (e.g., through a dedicated feature with a clear consent dialog).
- Brand voice & voice clones. Voice clones are encrypted at rest and only used to generate audio for your own projects. You may delete your clones at any time from your dashboard.
- Trust & safety scanning. We may apply automated safety filters to prompts and outputs to enforce our acceptable-use policy. A small portion of flagged content may be reviewed by our trust & safety team for the limited purpose of enforcement.
5. When we share data
We do not sell your personal information. We share data only in the following limited circumstances:
- Service providers. Cloud hosting, analytics, email, payment processing, customer support, content delivery, and the AI model providers that power the Service. We bind these vendors by contract to confidentiality and to use data only for the services they provide to us.
- Team workspaces. If you join or are invited to a team workspace, your name, email, and activity within that workspace are visible to other members and the workspace admin.
- Legal compliance. If we receive a valid legal request (e.g., subpoena, court order, search warrant), we may disclose limited data as required. We attempt to give the user notice unless prohibited.
- Safety. To investigate or prevent fraud, security incidents, or violations of our Terms or applicable law.
- Business transfers. If TheAiContentPro is involved in a merger, acquisition, or asset sale, your data may be transferred as part of that transaction. We will notify you of any change in ownership and any choices you may have.
6. Retention
- Account data: kept while your account is active and for up to 18 months after deletion, after which we anonymize or delete it (subject to longer retention for legal, tax, or fraud-prevention purposes).
- Workspace data (prompts, projects, outputs): kept while your account is active. You may delete individual items at any time. After account deletion, workspace data is purged within 30 days.
- Billing records: retained for at least 7 years for tax and accounting compliance.
- Logs & security data: retained for up to 12 months for fraud and abuse prevention.
7. Security
We use industry-standard safeguards to protect your data, including:
- TLS 1.3 encryption in transit and AES-256 encryption at rest.
- Hashed passwords (bcrypt) — we never store passwords in plaintext.
- Access controls, audit logs, and least-privilege principles for our staff.
- Regular vulnerability scanning, dependency monitoring, and penetration testing.
- SOC 2-aligned operational controls.
No method of transmission or storage is 100% secure. If we become aware of a security incident affecting your data, we will notify you and the relevant authorities as required by law.
8. Cookies & tracking
We use cookies and similar technologies for:
- Essential — sign-in, session security, basic functionality (cannot be disabled).
- Analytics — understanding usage patterns (privacy-respecting, IP-truncated).
- Advertising — measuring the effectiveness of our marketing (only set after consent on consent-required regions).
You can control cookies via your browser settings and our in-product cookie banner. Disabling certain cookies may affect functionality.
9. Your rights (GDPR / CCPA / similar)
Depending on where you live, you may have the right to:
- Access the personal data we hold about you.
- Correct inaccurate or incomplete data.
- Delete your data (subject to limited legal-retention exceptions).
- Restrict or object to certain processing.
- Port your data to another service in a machine-readable format.
- Withdraw consent for processing based on your consent.
- Opt out of "sale" or "sharing" of personal information (we do not sell, but you may still submit a formal request).
- Lodge a complaint with a supervisory authority (e.g., your local data protection regulator).
To exercise any of these rights, email privacy@theaicontentpro.com. We will respond within 30 days.
10. Children's privacy
The Service is not directed to children under 18. We do not knowingly collect personal information from anyone under 18. If you believe a child under 18 has provided us with personal data, please contact us and we will delete it.
11. International transfers
We are headquartered in the United States, and our infrastructure providers operate globally. By using the Service, you consent to the transfer and processing of your data in the U.S. and in other countries that may have data-protection laws different from those in your country. Where required, we rely on Standard Contractual Clauses or equivalent safeguards for international transfers.
12. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or by posting a prominent notice on the Service before the changes take effect. The "Last updated" date at the top of this page indicates when the policy was last revised.
